CWS/CMS Bulletin - Release 6.7 Information (60 Day Reminder)

Date: 9/21/2012
Title: Release 6.7 Information (60 Day Reminder)
What is Impacted: CWS/CMS Application
Describe Impact:

CWS/CMS Release 6.7 will go to production on November 17, 2012.

The following information is posted on the CWS/CMS website behind County Logon> Code Release Secure Site> Code Release 6.7:

  • Database Changes

Business Objects Mappings
R6.7 Data Structure Changes
Charts- Entity Relationship Diagram (ERD)
Index- Entity Relationship Diagram (ERD)
Folded Keys

CAD Changes

For Release 6.7, several Business Objects dimensions will be converted from a case statement in SQL to a system code table look up as was seen in R6.6.

There may be an issue with the query results if the following modified object was used in existing conditions or as report filters:

Place Home Facility Type           - Case and Referral
Ed Enroll Termination Reason    - Case Only

Report writers should take care to review the conditions and filters in their reports that include the above object. The values listed below in red are different in the object case statement (current) and the system code table (6.7). Some of these differences were due to the abbreviations used in the code tables and others are out of date. If a condition or filter contains one or more of these altered values, and it is not changed to match the code table values after 6.7 implementation, the condition or filter will not pick up the stated value anymore and the results will not be consistent with the previous (6.6) logic. All new code table values introduced in 6.6 will be available via the system code table.

All other modified objects were found to be consistent between the existing case statement and the code table values so no further intervention is required for reports using them as a condition or filter.

This analysis applies to both the Web Intelligence and Desktop Intelligence tools as well as the Case and Referral Universes where applicable.

The new version of the R6.7.0 Interim Release List is located on the CWS/CMS website under the County Info tab>Code Release Secure Site>Release 6.7>Interim Release 6.7.0.

The new version of xTools is located on the CWS/CMS website under the County Info tab>County Logon>Applications>xTools.

Two data recoveries will be performed in connection with this release:

  • The first data recovery will be performed to populate the new Service Component page Participation Criteria fields with values corresponding to existing Case NMD Special Project codes.   The data recovery will also end date the Special Project codes in Resource Management.  A query has been run to identify data anomalies that could prevent the roll up of the Special Project codes into the new Participation Criteria.   Individual SSCs will be in contact with counties that have data anomalies identified in a pre-implementation report to help them identify solutions prior to the release.   After implementation of R6.7, exception reports will be provided to counties to identify data that had to be excluded from the NMD Special Project Code data recovery.  The exception report will also provide a list of items that were updated with the value “Unknown at Conversion" so that counties will be able to locate data that may require correction.

  • As part of R6.7, we are performing a second data recovery to set ‘Court Specified Homes with a special project code of ‘SILP’ to the newly created placement facility type of ‘Supervised Independent Living Placement’.  To the homes that are changed, we will also default the ‘Care Provider Relationship to Child’ field to the new value of ‘Self’.  We will only run the data recovery for homes where there is only one child placed, as the new placement facility ‘SILP’ is considered to be ‘child specific’ (so you can only have one child per SILP).  A query was run to determine how many homes had the special project code of ‘SILP’ on them at this time, and to determine if there were any ‘data anomalies’ that need to be addressed in advance of the release. Individual SSCs will be in contact with any counties that have data anomalies identified in the SILP data recovery exception reports to help them identify solutions prior to the release. Closer to the release date, and after the counties work on cleaning up some of their data issues, another exception query will be run to see if more issues have come up.  The exact date for that query has not yet been identified.

Since this is a major release, the CWS code tables will be refreshed.  As long as users are logging into the CWS Application regularly, this code table refresh will not impact counties.  This will impact newly imaged machines that will receive the newer code table.  Dedicated counties do not need to take any action. Further information relating to this release will be available 30 days prior to the release.

The new code tables need to be replicated to county servers.  Counties should already have a process in place that updates county workstations from county servers.  These files are to be delivered to the workstations only if the code tables are newer than what the workstations already have.
